SEN regulatory communications




Aware Super was undertaking a multi-year company-wide transformation project. The aim of the project was to simplify the business in order to deliver the best possible experience for their members, employees, and employers who use Aware Super as their default fund.
Following several mergers and acquisitions, as part of the project Aware Super was transitioning into one technology ecosystem, one insourced administration model, one insurance model and investment menu, and one brand.
These extensive changes needed to be communicated to more than 1 million members in regulatory communications called Significant Event Notices (SENs) via email and post.
I worked in a small team that produced these SENs, along with accompanying cover letters, creating comms that met strict compliance obligations and also, in line with ASIC directions, provided members with clear, accessible, accurate and actionable information.
Each document needed to be reviewed by up to 30 subject matter experts, risk and compliance, legal, department heads and senior executives. Part of the role involved managing this process, implementing feedback, and chasing up information and approvals. The process covered many rounds in Word, design and the final versions.
There were 18 cohorts in total that required a separate SEN communication. All work was completed within a tight timeframe with a hard deadline for distribution, as it is a regulatory requirement that they are sent out at least 30 days before changes take effect.
Feedback from the ATO was that they were very impressed with the SENs, which they said were "great, very clear and easy to read." Internally at Aware Super, it was noted that it's unusual to receive positive feedback from a regulator.

During my time at Aware Super I also worked on the BAU SENs, which were distributed each year with the annual statements. Producing these SENs required the same process as above, working within tight timeframes to a strict deadline.
I also produced three versions of Aware Super's annual member communication called SuperNews, a print magazine which was distributed to several hundred thousand members.
I managed the entire process from sourcing articles; writing articles (like the example at left); gaining feedback and approval from subject matter experts, compliance and legal; liaising with the design agency through multiple iterations of the magazine; and working with the mailhouse on distribution.
